Financials First Fast-Track Pre-Flight Checklist

Eight items that must be complete before the 30-day clock starts. We work through all of these with you.

This checklist is the final gate before the 30-day clock starts, not the starting point. Before we get here, we run a short discovery phase together: initial conversations, a review of your current setup and a collaborative working session to work through each item below. We do this with you, not hand it to you and wait.

Once all eight items are complete and signed off by both sides, Day 1 is confirmed in writing and the 30-day window opens.

Chart of Accounts signed off

Your target account structure agreed and approved by your FD or FC before configuration begins. Changes after this point affect the clock.

Legacy data extracted

Trial balances, open AP/AR and transactional history exported from Xero, Sage or QuickBooks using our data template. We supply the template.

Opening balances agreed

A cut-off date confirmed, with a trial balance reconciled to that date. Open AP, AR and agreed master data prior to cut-off are brought in as opening balances. We agree the exact approach with your FD before migration begins, this is a collaborative step, not something you need to figure out alone.

Bank and tax details confirmed

Bank accounts, VAT registrations and tax codes documented and verified. HMRC MTD configuration requires your VAT number and filing period confirmed.

Named project owner

One person on your side with the authority to make decisions and time in their diary. Implementations stall when decisions need escalation. This person must be available throughout the 30 days.

Users and roles agreed

A complete list of who needs access, what role they perform in the business, and what approval permissions they hold. This drives the permission structure built into NetSuite.

Go-live date in the diary

A committed cut-over date agreed and blocked in your team's calendars. Your project owner and key finance users need to be available for go-live and the first days of live running immediately after.

08

Signed Business Requirements Document

The BRD captures the agreed scope, configuration decisions and any specific requirements for your implementation. It is signed off by your project owner. This document locks the scope and formally starts the 30-day clock.
